How MantleComms simplifies your print and post room

1. Is MantleComms tied to a specific communications provider?

No. MantleComms is vendor-agnostic. Mantle maintains an approved panel of fulfilment and communications specialists, and you choose who to work with. You can even transition to other approved providers, meaning the flexibility and control are yours.

2. Can we take outbound without inbound, or the other way around?

Yes. MantleComms is modular. Outbound is available now, and inbound is coming soon. Most clients will start with outbound, where the immediate data risk and cost savings are greatest, and add inbound when it launches. You will also be able to add digital modules as they go live too.

3. How does MantleComms handle data security?

Data never leaves the Mantle platform through manual or unsecured channels. The connection to your chosen communications vendor is a direct, secure technical integration. Your chosen fulfilment specialist will be vetted and approved by Mantle, and carries their own compliance and data handling obligations, so you’re not just automating the process, you’re also outsourcing the associated risk while retaining full oversight.

4. How does inbound mail get matched to the right member? (Coming soon)

Returned Mantle documents carry a letter tag that enables automatic matching; the document is attached to the correct member record, and a workflow task is triggered immediately. For untagged correspondence, such as ad-hoc member letters, your fulfilment specialist uses OCR and matching logic to try to identify the sender. Items that can’t be matched automatically are flagged for your team to review and action in a secure holding pen.

5. What does the audit trail include?

For outbound, every communication is logged from creation through to delivery confirmation, including scheme, member ID, and postage class and cost. For inbound (coming soon), every scanned item will be recorded with the time of receipt, scheme attribution, and any resulting workflow. This data is accessible in Mantle and available for compliance reporting, cost-to-serve analysis, and member queries.

6. What about digital communications such as email and app notifications?

Mantle already has email capability for clients, and we’re actively developing our digital communications offering. For now, MantleComms is focused on physical mail, outbound dispatch and inbound management, where the operational risk and data security needs are most acute. We’ll share more on digital developments in the coming months.

7. How does MantleComms support TPA billing?

Every outbound communication is captured with the scheme number, scheme name, and member ID in the metadata. This gives TPAs accurate, scheme-level cost data as standard, supporting client invoicing, cost-to-serve reporting by member, and the kind of commercial conversations that help you manage margins and demonstrate value.
